1. Who is responsible for your information?
Sue Cruse, trading as The ICONIC Method™, is the data controller responsible for deciding how and why your personal information is used.

2. Information I may collect

Identity and contact information, such as your name, email address, telephone number and postal address where needed.

Enquiry, booking and transaction information, including the services or products purchased, payment status and invoices. Full card details are normally handled by the payment provider rather than stored by me.

Coaching information, including questionnaires, goals, reflections, practitioner notes, agreed actions and personalised session summaries.

Information you voluntarily share about your wellbeing, health, relationships, work, family or other personal circumstances.

3. Why I use information and the lawful bases
4. Sensitive information
Coaching conversations may include health, wellbeing or other sensitive information even though The ICONIC Method™ is not a health service. Please share only what is relevant and what you are comfortable sharing. Where data-protection law requires explicit consent for this information, that consent will be requested separately and may be withdrawn. Withdrawal does not affect earlier lawful processing, but it may limit whether coaching can continue safely or appropriately.
5. One-to-one transcripts, summaries and group recordings
One-to-one transcription is not used without clear advance information and express consent. It is used to help prepare a personalised summary that I review for accuracy, relevance and personalisation. The raw transcript is deleted within 30 days after the checked summary is produced.
Group sessions are recorded for catch-up access by registered participants. Recordings remain available until 30 days after the final group session and are then deleted. Participants may keep cameras off and choose not to speak. Access is restricted and sharing is prohibited, but participants should avoid disclosing information they would not want other registered group members to hear.
6. Who receives your information?
I do not sell personal information. I may share limited information with trusted service providers that help operate the business, such as website hosting, booking, payment, email, cloud storage, video meetings, transcription, digital-product delivery, analytics and professional advisers. They may process information only for the relevant service and subject to appropriate safeguards. These include:

Information may also be disclosed where required by law, to protect a person from serious harm, to establish or defend legal rights, or during a genuine business restructuring subject to appropriate confidentiality and legal safeguards.
7. International transfers
Some technology providers may store or process information outside the United Kingdom. Where this happens, I will use providers and safeguards permitted by UK data-protection law and provide further information on request.

I use reasonable technical and organisational measures to protect personal information, including access controls, secure accounts, appropriate passwords and limiting access to those who need it. No online system is completely risk-free, but any suspected data breach will be assessed and handled in accordance with legal requirements.
10. Your data-protection rights
Depending on the circumstances, you may have rights to be informed; access your information; correct inaccurate information; request deletion; restrict processing; object to processing; receive certain information in a portable form; and withdraw consent at any time. You also have an absolute right to object to direct marketing.
To exercise a right, email hello@suecruse.com. I may need to verify your identity. There is normally no charge, although the law permits a reasonable fee or refusal in limited circumstances involving manifestly unfounded or excessive requests.
11. Marketing
Marketing emails are sent only where there is an appropriate legal basis. Where consent is used, the marketing choice is separate from agreeing to Terms and Conditions and is never required to buy. Every marketing email will provide a straightforward way to unsubscribe.
12. Children
The website, coaching services and digital products are intended for people aged 18 or over. I do not knowingly offer these services directly to children or intentionally collect children's information through the website.
13. Automated decision-making
I do not make decisions about clients or customers based solely on automated processing that produces legal or similarly significant effects. AI tools may assist with administration or drafting, but Sue reviews and remains responsible for client-facing coaching summaries and business decisions.

15. Changes to this notice
This Privacy Notice will be reviewed and updated when services, systems or legal requirements change. The current version and update date will be published on the website. Where a change materially affects how existing information is used, appropriate notice will be provided.
